If you need to record custom information about each of your users, such as employee ID, department, or category of Learner, you can configure User Custom Fields.
There are two types of User Custom Fields that can be added. You can add up to 25 Advanced User Custom Fields and up to 10 Legacy User Custom Fields for all your users’ profiles.
Advanced User custom fields are only visible in all users’ profiles if the Custom Fields Litmos Feature is enabled. Advanced User Custom Fields can be made mandatory, visible to the Learner or marked as Sensitive Personal Identifying Information. There are four types of Advance User Custom Fields that can be selected to help collect the right data and values for that field. Follow these steps to add a new Advanced User Custom Field:
- Navigate to Account Settings > Litmos Features > Custom Fields > User Custom Fields
- Tick “Enable User Custom Fields” and then click the Save button
- Click the “Add Custom Field” button
- Enter the Custom Field Label, Default Value, and select the Custom Field Type (see below for more details)
- Tick the “Mandatory” option to make the field required for a user to fill out when they log in for the first time or when an Administrator is editing a user’s profile. (Optional)
- Tick the “Sensitive PII” option if you capture any sensitive, personally identifiable information for users in the user custom field. (Optional)
- Click the Save button.
The Advance User Custom Field Types available are:
- String – text input which can include any characters (Limit of 255 characters)
- Number – digits only
- Date – date picker with default date format (MM/DD/YYYY or DD/MM/YYYY)
- Dropdown – add dropdown values by selecting “Edit Dropdown” to have custom-predefined values to choose from.
To add a new Legacy User Custom Field, follow these steps:
- Select Account Settings > Messages & Settings on the left-hand menu
- Scroll down to the Custom fields section and click the “Add Custom Field” button to add a new legacy custom field (String type only)
- Tick the “Make mandatory” option to make the field required for users to fill out when they log in for the first time. (Optional)
- Tick the “Sensitive PII” option if you capture any sensitive, personally identifiable information for users in the user custom field. (Optional)
- Scroll down to the bottom of the page and click “Save”.
Note: Both types of user custom fields (advanced and legacy) can be bulk imported with the CSV template for the Import People in Bulk process.
