Bulk import up to 5,000 teams to quickly create a Team hierarchy structure. To use this bulk import feature, you need to create a CSV import template file that includes the list of all Teams to be created, specifying the Team’s Parent. You can also include a description for each Team if required.
Building your Teams Bulk Import CSV File
To get started, click on the “Teams” button and then the “Import Teams in bulk” button. Download and populate the CSV file.
Tip: To protect formatting, please do not alter the file columns or column headers.
Team Name: This will be the name of the newly created team. Each Team requires the “Team Name” column to be filled out. The Parent name, Parent code, and Description columns are optional. See below for more details.
Parent Team Name: If the Parent Team is also being created in the same spreadsheet, identify the Parent team to create a Team hierarchy structure. This must be a unique Parent Team name and the Parent Team name must be listed before the child team in the same spreadsheet. If the Parent Team name is not unique, use the Parent Team Code (see below).
Parent Team Code: If a Parent Team Name is not unique, the Parent Team Code can be used to identify the required Parent Team. The Parent Team must exist in Litmos prior to the import and the Parent Team Code can be found in the Teams > Team Name > Settings by viewing the Bulk import code in the yellow box.
Description: This text will be entered in the Description field for the Team.
Note: Parent Team Name and Parent Team Code have essentially the same purpose. However, they will be used in two different situations. If the Parent Team Name will be created in Litmos in the same spreadsheet as the Child team, use the Parent Name.
Importing and Mapping the Fields
Once the CSV import file is built, Upload and Import the Teams CSV file:
-
If you haven’t already, navigate to Teams > “Import Teams in bulk”.
-
Click “Choose File”, select the CSV import file and click “Next”
Note if your CSV import file contains column titles in the first row, ensure you tick the “The first row of my file contains column titles” checkbox.
-
Click “Map Fields” once the CSV file upload has finished processing
-
Map the CSV data Columns to the appropriate Litmos Teams fields and click the “Import” button
Important Tip: Bulk Importing Teams cannot be reversed. For this reason, we recommend doing a test import and reviewing the import before doing an import of a large number of teams.
Note: If there are no Headers in the File, the Parent Team and Parent Team Code may appear as blank in the Mapping field.
Reviewing the Status of the Import
A list of your recent imports and the summary of each Teams bulk import is displayed on the right side of the Teams page.
You can also “Download results” of a CSV file that contains the import status and results of each of included Teams’ records that were imported.
